Privacy Policy

1. What We Collect
When a workspace owner creates an account with Goallord SmartChat we collect their email address and a hashed password. We do not collect billing information directly. Payments are handled by our payment processor.
When a visitor interacts with a workspace's chat widget we collect:
- The text of every message the visitor sends during the conversation.
- Any name, email address, or phone number the visitor voluntarily submits when requesting to speak to a staff member (an escalation).
- Basic session metadata (approximate timestamp, browser type) used for conversation continuity and analytics.
We do not use third-party advertising trackers or sell visitor data.
2. How We Use It
- Operate the assistant. Visitor messages are sent to our AI sub-processors (see §3) to generate answers strictly from the workspace's approved knowledge base.
- Escalations. If a visitor requests human help, their contact details are shown to the workspace's staff agents so they can follow up.
- Analytics. Aggregate, de-identified usage statistics help workspace owners understand their assistant's performance (volume, response quality, escalation rate).
- Service communications. We may email the workspace owner about account changes, security notices, and product updates.
3. Sub-Processors
We share message content with the following third-party AI providers solely to generate responses. Each provider processes data under its own privacy policy and data-processing agreement.

We do not share visitor names, email addresses, or phone numbers with AI sub-processors.
4. Retention
Conversation data is retained until the workspace owner or an admin deletes the conversation from the dashboard, or until the workspace owner closes the workspace. Closing a workspace permanently deletes all associated conversations, knowledge base content, and account data. There is no automatic expiry, so workspace owners are responsible for deleting data they no longer need.
5. Your Rights
Depending on where you live, you may have rights to access, correct, or delete personal data we hold about you.
- Workspace owners can update or delete their account information from the dashboard settings. They can close their workspace at any time, which permanently deletes all data.
- Visitors who submitted personal information during an escalation may contact the workspace owner directly (using the email provided during escalation) or contact us (see §6) and we will instruct the workspace owner to delete the relevant conversation.
